On behalf of the ETLTC Conference Organizers, we wish to inform all prospective and registered participants that the organizers reserve the right to change the conference dates and logistical arrangements due to unforeseen circumstances. These may include, but are not limited to:
The number of registrations received
The proportion of on-site versus online participants
The confirmed accountability and availability of keynote and invited speakers
Venue scheduling or availability conflicts
Any other factors that may directly impact the effective delivery and quality of the conference experience
While every effort will be made to ensure that the conference proceeds as planned, the organizing committee retains the flexibility to adjust plans in response to challenges that may be beyond its control. In all such cases, the organizers will do their utmost to manage the situation in a manner that best facilitates the needs and expectations of registered participants.
We kindly request all participants to refrain from making non-refundable travel arrangements until the first draft of the official conference program is made available online. Additionally, participants are encouraged to seek confirmation or updates from the conference organizers regarding the latest logistics and scheduling status during the final week of registration.
Please note:
Any letter of acceptance issued by ETLTC before the submission and registration deadline does not override the terms of this disclaimer notice.
Any registration through the EDAS system or any authorized third-party platform is non-refundable under all circumstances.
All participants are strongly advised to read this disclaimer notice in full before completing registration.
The conference organizers are not under any obligation to satisfy individual or subjective expectations that a participant may have about the format, structure, or outcomes of the conference, as such expectations may vary widely and are inherently relative.

Other Issues:
We will not submit camera-ready versions to the publisher until we complete the pending registration process and confirm payment.
Camera-ready versions could be discarded at a later date after submission or immediately before the submission to the publisher if proper revised documents based on publisher requirements are NOT met.
If a signature on the copyright form is not obtained by one of the authors at a later date before final acceptance and during the revision process, the paper may be rejected with immediate effect.

Publication Disclaimer:
Please be aware that while the organizing committee will recommend accepted papers, the final decision on publication lies with the publisher. Acceptance of the first draft paper through the review process does not fully guarantee final publication.
Please be aware that the timeline for AIP proceedings publication is longer than MDPI Engineering proceedings publication. There is NOTHING ETLTC can do to fast-track the process following submission of the volume to the publisher.
However, starting from the 2026 ETLTC global conference series, authors will have the option to choose between MDPI and AIP proceedings publication based on their priority of timeline and quality.
AIP Publisher's Notice to ETLTC Chair (Email as of Saturday, August 30, 2025):
AIP Conference Proceedings processes volumes in the order in which they were received. ETLTC2025 is currently in the queue for its initial quality check. Please understand that this process will be handled as quickly as possible, but that it will require time. When the review has begun, our editorial team will be in touch. Until then, we ask for your continued patience.
Regarding formal acceptance of the articles—it is our policy to invoice based upon the number of articles submitted for publication; the withdrawal or rejection of any articles will not impact the invoice amount. Therefore, please consider the invoices you received as finalized, and kindly note that, per Section D of the signed contract for publication, the total charge is payable to AIP Publishing LLC in U.S. dollars within 30 days from receipt of AIP Publishing's invoice.
For your reference, I will add that our typical publication timeframe is approximately 12 weeks from the time of the complete and final material submission (after papers have undergone their initial quality check, license-to-publish agreements have been reviewed, replacement files have been requested, received, and reviewed, and the volume has been transferred to our Production Department).
Total publication time depends on several factors, the most important being how carefully proceedings are prepared prior to submission to AIP Publishing. Other factors that affect publication time include the availability of editors to approve the proceedings, the number of manuscripts, and the time of year. However, we will strive to ensure that your proceedings are released to your community in the minimum time possible.
